BUYER GUIDE
Custom Bag Pre-Shipment Release Checklist
A completed production run should not move automatically to shipment. Buyers need a clear release decision tied to inspection, quantities, packing and documented deviations.
Separate production completion from shipment authorization
A pre-shipment release record should show what was checked, which version was inspected, whether open issues remain and who has authority to approve shipment. The exact evidence and inspection method depend on the order and buyer requirements.
Confirm inspection scope and product status
Identify the purchase order, SKU versions, lot or production quantity and approved sample used for comparison. Confirm the agreed inspection scope, sampling plan and acceptance criteria.
Review inspection findings by defect class and requirement. An inspection result is evidence for a release decision; it is not a universal guarantee of every unit or every performance claim.
Reconcile finished quantities and packing
Compare finished quantities, shortages, overruns and replacement units with the purchase order and latest approved version matrix. Check unit labels, inner packs, carton quantities, assortment and shipping marks.
Open selected packed cartons to reconcile physical contents with packing records. Confirm that product protection, folding and presentation match the approved packing instruction.
Review documents, tests and deviations
Confirm the project-specific documents required before release, such as inspection reports, agreed test reports, material records, packing list data or buyer-requested photographs.
List every deviation, concession, repair or rework record. A deviation should not be treated as accepted unless the authorized buyer representative approves it in writing.
Issue written release and preserve the record
Record the release decision, date, responsible parties, accepted deviations and any conditions that must be completed before dispatch. Link the decision to the correct order and document revision.
Preserve final inspection, packing and release records for receiving and future reorders. Transport booking and shipment documents should follow the approved destination and commercial instructions.
BUYER FAQ
Questions to settle before production or shipment release.
Does a passed sample inspection guarantee every unit?
No. A sample inspection evaluates selected units under an agreed plan. The buyer should understand the sampling scope and acceptance criteria.
Can goods ship with an approved deviation?
Only when an authorized buyer representative accepts the specific deviation and any release conditions in writing.
Which documents are always required before shipment?
There is no universal list for every order. Required inspection, test, material, packing and shipping records depend on the product, market and contract.
Who should authorize shipment release?
The purchase order or agreed quality process should identify the buyer or authorized representative responsible for release.
Continue the record after delivery
Use receiving evidence to keep shipment identity, arrival condition, affected quantities and corrective actions connected to the approved order record.
