Custom Bag Bill of Materials (BOM) Version Control Guide

A custom bag bill of materials turns an approved concept into a controlled component list. It should identify what is used, where it is used, which source and version are approved, and what must be reviewed when anything changes.

Treat the BOM as a live production record—not a quotation attachment

The required detail depends on the product, destination market and buyer process. A BOM does not by itself prove compliance, quality or availability; it connects specifications, samples, evidence and approvals so the correct inputs can be checked.

01

Give every component a stable identity

List the exterior, lining, interlining, padding, zipper chain, slider, puller, hardware, binding, thread, labels, decoration, inserts and packing materials. Add the supplier code, composition or construction, color reference, dimensions, finish and use location needed to distinguish each item.

Separate marketing names from technical references. If two components look similar but come from different sources, constructions or finishes, keep them as different controlled rows.

02

Connect components to drawings, samples and evidence

Link each BOM row to the relevant specification, artwork, approved color, supplier record, material declaration, report or certificate where required. Identify the finished sample or panel that demonstrates the approved combination.

Do not copy one document across every component or color without a documented coverage basis. Keep unsupported, pending and not-applicable statuses visible.

03

Control revisions and approval status

Assign a BOM revision, issue date, owner and status such as draft, sample-approved or production-released. Record which rows changed, why they changed, who reviewed them and which sample or cost consequence followed.

A new file name alone is not version control. Preserve prior revisions and use one agreed release point so purchasing, production, quality and the buyer are working from the same component list.

04

Freeze the production version against the purchase order

Before bulk release, reconcile the BOM with the purchase order, product specification, artwork, packing instruction, approved sample and open deviations. Resolve differences or obtain written approval for an explicit exception.

Carry the released revision into incoming inspection, line control and final inspection records. Where a component is buyer-supplied or project-specific, state who provides it and how shortages or replacements are handled.

05

Reopen the BOM for changes and reorders

Trigger review when a supplier, material, formulation, colorant, coating, hardware finish, decoration process, factory route or packaging item changes. Assess effects on appearance, function, evidence, cost and timing before approval.

For a repeat order, compare the current component sources and requirements with the last released BOM and retention records. Do not assume that an old approval remains valid after a source or specification change.

BUYER FAQ

Questions to settle before releasing a BOM.

How detailed should a custom bag BOM be?

Detailed enough that purchasing, production and quality teams can identify every controlled input without relying on memory or an unapproved sample. Higher-risk or claim-bearing components usually need more traceable fields.

Is a BOM the same as a product specification?

No. The specification describes the finished product and requirements; the BOM lists the controlled inputs. They should reference each other and share the same released revision state.

Can a supplier substitute an equivalent component?

Only through the agreed change-control process. “Equivalent” should be evaluated against appearance, construction, function, evidence, cost, timing and buyer approval requirements.

Should packaging be included?

Yes when unit bags, inserts, labels, barcodes, cartons or assortment materials affect the delivered product. Keep pack-out instructions and artwork files linked to the relevant BOM rows.
